Executive Assistant / Branch Coordinator | Enterprise Technology

About the Role
We are seeking an experienced Executive Assistant / Branch Coordinator to provide high-level administrative and executive support to the Executive Director, Enterprise Technology. Operating within the eHealth Division, you will play a critical role in streamlining branch workflows, coordinating key information requests, and ensuring seamless communication across the division, the Office of the Deputy Secretary, and the broader department.
Key Responsibilities
- Executive Support: Deliver specialist EA support to the Executive Director, including complex diary management, inbox triage, meeting coordination, and document workflow tracking.
- Core Public Administration Drafting: Prepare high-quality briefs, correspondence, Ministerial/Secretary briefings, Cabinet-related materials, meeting papers, agendas, and minutes.
- Branch Coordination: Manage branch-wide administrative workflows and information requests, serving as the central point of contact to ensure accurate, timely, and compliant outcomes.
- Stakeholder Engagement: Liaise effectively with internal stakeholders, executive offices, and cross-divisional teams to maintain alignment and smooth operational linkages.
- Process Improvement: Apply departmental policies and leverage M365 systems to resolve routine service delivery issues and optimize administrative processes.
Key Selection Criteria
Skills & Experience- Executive Support Expertise: Proven experience supporting senior leaders in complex environments, with demonstrated mastery in managing competing priorities, executive schedules, and administrative workflows.
- Public Sector Governance (Desirable): Familiarity with government briefing processes, departmental governance structures, and preparing formal public administration documentation.
- Written Communication: Exceptional skills in drafting clear, concise, and grammatically accurate briefs, reports, and official correspondence.
- Planning & Organization: Strong capacity to prioritize critical activities, manage barriers proactively, and implement effective workflow tracking systems.
- Technical Proficiency: Advanced skills in the Microsoft 365 suite, word processing, spreadsheets, and digital document management platforms.

Qualifications- A tertiary qualification in Business Administration, Public Administration, or a related discipline is highly desirable.
